Still working? You need Elf Help!

Poor old Santa! Still working away on Christmas Eve – checking his database for all the names of the good boys and girls to give presents too, but at least he has elves to help him (probably even secretarial elves)!
And POOR YOU if you are still working trying to get all your work done before you can finish for Christmas – especially if there are no elves around!

The shortest day of the year!

The Winter Solstice brings the shortest day and the longest night of 2011. If you do not escape from the “office” long enough to see daylight then you will not notice the difference!!! But the winter solstice brings with it the fact that the days are now going to get longer and summer is on its way!

REMEMBER, REMEMBER THE FIFTH OF NOVEMBER ...

Today people will be lighting bonfires and letting off fireworks throughout England celebrating Guy Fawkes/Bonfire Night.
Some people might see their paperwork looking like an unlit bonfire ... but wait ... help is at hand! Filing is a speciality of mine - turning "unlit bonfires" into working and tidy systems, putting an end to all those tottering piles of paper.

Don't be tripped up not turning your clocks back!

AVOID A HORRIFIC START TO YOUR WEEK - Remember the clocks go back one hour this weekend and then its Halloween on Monday – Don’t make the clock going back a horrific event by forgetting to turn your clocks back after 2am on Sunday morning! So how will you use that extra hour?
- Will you spend it giving yourself time to think about how to make things better for yourself?
- Will you crave an extra hour to have an extra treat is great?
- Will you spend the hour worrying about needing more time?

Get the perfect Summer Holiday (and have your work done!)

To give you the perfect summer holiday why not use a freelance secretary? 20 things that can be done in an hour

Sometimes it is hard to see what can be achieved in one hour – especially if you have not had the pleasure of working with me. I have listed below a few ideas of what I can do in one hour (or two!):

General Office
1. Stop a pile of papers from overflowing by sorting them into areas to be filed.
2. Sort through one carrier bag of receipts!
3. Organize a stack of messy files, label them and return them to you ready to drop into a file drawer (a good start can be made in one hour)

Documents
4. Mail merge 50-100 letters including printing (stuffing and mailing will take longer).
5. Create correspondence for a client or prospect.
6. Edit and proof a report – probably around 4/5 pages.
7. Type handwritten notes.
8. Transcribe up to half hour of audio or video (standard guidelines are 15 minutes of audio take an hour to type)

Presentation & Design Work
9. Create a PowerPoint presentation.
10. Convert document files to PDF format.

PA/Administrative Roles
11. Research travel, hotel and meeting facilities.
12. Update and manage your calendar.
13. Do follow-up research on a client, prospect, applicant, or competitor.
14. Book your flight, hotel, and/or rental car reservations.
15. Delete spam accumulated in your e-mail overnight and sort/answer/redirect others.
16. Answer your telephone and look after the office while you are at a meeting.

Data Input
17. Data Entry of at least 75 contacts in an Excel spreadsheet.
18. Build a spreadsheet to suit your purpose.


Marketing/Research
19. Compose article and press release submissions/post 3-4 basic blog entries
20. Research for a specific project.

Another year older ... but are we ever any wiser?

I am celebrating another year in my life today and asking myself the question whether I feel any wiser? I must admit I am feeling wiser ... wiser in the knowledge that what I am doing with my work life is good not only for me - but for a lot of other people. So now its time for me to put my feet up for a day and reflect on what has been achieved in the past year. Its not only at New Year that we should do this!

My week has started in a great way! I have just been on Vanessa Feltz's show on Radio 2’s on her “I Want To Wake Up With You“ slot (by the way my song is “Footloose” by Kenny Loggins). This meant not only a great start to my day, but I was able to start the day how I wanted!

Did you know Bank Holidays were first introduced in the UK in 1871 by a banker who decided to close his bank and take the first Monday in May off work. Local competitors followed suit, taking days off over the traditional Easter period. A holiday revolution! This was later changed to include other dates.

Back to work with a smile!

After a lovely week on holiday I am back to work and still smiling since my first job this week is continuing with the filing of someone's paper mountains ... I am off to enjoy a week in Sunny Cornwall - a lot of rain has been forecast but it will just be liquid sunshine. It's amazing how your mindset changes when you are about to go on a holiday!

Are you married to your work?

With the Royal Wedding tomorrow, everyone’s thoughts are turning to either work or marriage. But are the lines between the two unclear for you? Do you bring work home with you or take your life into work with you? The latter is not so bad since thats the good part of your life. But if you are not able to disconnect from work then you need help – why not call in part time chargeable by the hour help? ME?
This will mean that you don’t bring your work home with you since it will be much more orderly. It's a decision you can make. Just because one part of your life isn't working doesn't mean that the other has to break down as well.
The time you spend at home should count every bit as much as the time you spend at work.

Treading on eggshells this Easter?

Easter sees a lovely long weekend and also Chocolate Eggs, but are you going to walk on eggshells because you are not totally able to relax due to work pressures?? Pagan traditions gave us the English word "Easter" from the word "Eostre". The Anglo-Saxon word for April was "Eostre-monath" (the month of openings). The month was named after the Anglo-Saxon goddess Esostre and rituals relating to the Eostre focussed on new beginnings, symbolized by the Easter egg, and fertility, which is symbolized by the hare (or Easter bunny).
So the Easter weekend is a good time to focus on new beginnings – maybe a beginning to a new outlook on your working life ... getting in the help you need... utilising the services of a helping hand... me?

Double Bubble or Double Trouble Bank Holiday weekends??

With the upcoming Easter Holidays and Royal Wedding and May Day Holidays there is an abundance of Bank Holidays! There are just 3 normal working days between the two Bank Holiday weekends. That means 11 days holiday with only three days Annual Leave – if of course you are entitled to Bank Holidays! I for one am not since I am self-employed. But if my services are not needed then I will see the time as downtime and enjoy it for just that!
I have heard of three types of people – the Vacationers (off to another country at a drop of a hat), the staycationers (holidaying nearer to or at home) and the Bank Holiday Refuseniks (who will carry on working regardless of bank holidays). I

DON’T BE FOOLED!

April Fools' Day is celebrated in different countries around the world on April 1 every year marked by good-humoured or otherwise funny jokes, hoaxes, and other practical jokes. Traditionally, the jokes only last until noon, and someone who plays a trick after noon is called an "April Fool" and taunted "April Fool's Day's past and gone, You're the fool for making one."

Beware the Ides of March????



March 15 was forever marked as the Ides of March, as a day of infamy, following the bloody assassination of Julius Ceaser on that day in 44BC. Romans living before that event, however, saw ides as simply marking the appearance of the full moon. Today, thanks to the William Shakespeare‘s play Julius Caesar, the soothsayer’s warning to Julius Caesar, “Beware the Ides of March,” has forever linked that date with a sense of foreboding.
But why should any date be any worse than another? In Roman times the Ides of March was mostly notable as a deadline for settling debts. So the Ides of March is not a bad date to think about getting your accounts into order for the financial end of year which is fast approaching. Or maybe its a date for sorting those paper piles so that you can see the moon!! So maybe it’s not a case of the Ides of March – but instead think “Yikes it’s March … call in help and get my life sorted..."

I have just been on Radio 2’s Popmaster with Zoe Ball – I missed out on the final with a tiebreak question but enjoyed every minute of it. I was able to take time out from my busy schedule and do something I wanted to do!

Too many Chiefs?

All we seem to hear about these days are "non-jobs" in the councils and large firms. What is a “non-job” I only know of “job-jobs”!!! Or is this a case of too many managers – not enough staff? Too many chiefs and not enough Indians ...? Well if you need more indians - I am one who certainly loves to work on whatever the Big Chief (Boss) says! OK so fire starting may not be a role but fire stopping might be – making sure those urgent matters are dealt with in a timely matter and those fire risk paper piles are filed away and put into a workable system … So if you are a Big Chief with a reservation (desk/room) that needs clearing call in the help of this little Indian (freelance secretary) who will work for as many hours as you need to sort you out and can then come back whenever she sees a smoke signal (email or telephone call). When St Valentine's Day lurks everyone thinks of showing their love to someone else! Why not show some love to yourself?

Bounce into your work like a rabbit?

They say Chinese Year 2011 will be a placid year, very much welcomed and needed after the ferocious year of the Tiger (2010). We should go off to some quiet spot to lick our wounds and get some rest after all the battles of the previous year. But being placid doesn't mean you can't bounce into action like a rabbit. Get ready for the year ahead by planning your year. Whilst planning your year - think about your staffing levels - if you do not have any staff and cannot afford them then I am a very affordable alternative. The end of the tax year is nigh

I provided my tax paperwork to my accountant and he was delighted with the way I presented them to him and wished all his other clients were the same. Well I can offer this service to whoever wants it and make all accountants happier people! So why not make a change in the near future and utilise the help of a Freelance Secretary. Twelfth Night - but are they decorations or filing?

Tonight is Twelfth Night when all Christmas Decorations should be removed so as not to bring bad luck upon the home. If decorations are not removed on Twelfth Night, they should stay up all year.
This does not mean though that if you have any paperwork that resembles Christmas decorations that these can stay where they are all year! Make this the year that you have an efficient office that looks good and not just because of your paper decorations! Give me a call and see how my magical filing skills will brighten your day!

Happy New Year ... back to the grindstone?

Today is the beginning of the New Year and the time to make New Year resolutions. A good way of making resolutions is by taking a look back at what you have done and make resolutions based on this. Do you want to go back to the grindstone? No?
